File Preparation Guidelines & Tools

On this page you will find instructions and templates to assist you with design and layout of your printed material.

We prefer to have the original working files and all supporting fonts and graphics. If you are working in Microsoft Word, Publisher, Excel or Powerpoint, please include a hi-res PDF in addition to the original files. If the PDF was created properly, we will print from the PDF. This can save time and money.

Note: Sending a PDF only will limit our ability to make edits, but it is still the best option when outputting from non-standard layout programs such as Microsoft and Corel.

Templates

Download a template for proper layout of common materials. Templates for Adobe Illustrator, InDesign and Quark Xpress are included.

Creating Hi-Res PDFs

Settings and instructions for creating hi-res PDF files are below. Hi-res PDFs must include bleeds. Images should be hi-res CMYK (not RGB), and all fonts must be embedded in the PDF. If you have questions after reading the instructions, please call and ask to talk to someone in our prepress department. We are here to help you!

Mailing Specifications

The post office has strict regulations for mailings. Following these guidelines can save postage costs.
  • Mailing lists should be created in Microsoft Excel
  • Lists should be as current and accurate as possible
  • A Minimum Quantity of 500 is required for 1st Class Presorted rates
  • A Minimum Quantity of 200 is required for Standard Presorted rates
  • Addressing Area must be 4" x 2" and clear of obstructions
